Terms of Participation & Privacy Notice

Mumbai Moves by HVS Hospitals · Last updated 8 September 2026

Mumbai Moves is a voluntary staff walking challenge run by HVS Hospitals. This page explains how the app works, exactly what information we collect when you take part, what we do with it, and how you can have it removed.

By signing in with your Google account and using the app, you confirm that you have read and accept this notice. If you would rather not share the information described below, simply do not sign in — participation is entirely optional and has no bearing on your employment.

01About the challenge

Mumbai Moves runs from 8 September to 28 September 2026. Participants log how many minutes they walked, or how many steps they took, on each day of the challenge. Steps are converted to minutes at a fixed rate of 100 steps to 1 minute.

All participants' minutes add into a single shared total. The goal is for the group to reach 10,000 minutes together within the 21 days. There is also an individual leaderboard, and prizes for the top three participants at the end.

Entries are self-reported. There is a cap of 600 minutes per day, you may only log today or the two days before it, and logging a day again replaces that day rather than adding to it.

02What we collect

From your Google account, automatically

When you sign in, Google gives the app three things: your name, your email address and your profile photo, along with the account identifier Google uses to recognise you on your next visit. We use Google sign-in so that there is one profile per person and nobody can enter the leaderboard twice.

We do not receive, and cannot see, your Google password, your contacts, your calendar, your files, your location, or anything else in your Google account.

What you enter yourself

Display name (required)
So administrators know who you are when prizes are awarded.
Daily step goal (required)
A personal target you set. Used only to show your own daily progress ring.
Age, weight, height (optional)
Used for one purpose only: to make the calorie and distance figures shown on your own Me screen more accurate. Leave them blank and the app simply uses a standard assumption instead.
Team or department (optional)
Used only if group-versus-group scoring is switched on for this challenge.
Daily minutes or steps
The figures you log each day, and the date and time each entry was saved or changed.

Generated by the app

The app assigns you an anonymous leaderboard handle such as BriskOtter47. You can change it at any time from your profile.

We do not connect to any fitness tracker. The app has no access to Apple Health, Google Fit, Health Connect, Fitbit, or any other health app or wearable on your phone. Every figure in Mumbai Moves is one you typed in yourself.

03Who can see what

Other participants
Only your anonymous handle, your total minutes, the number of days you logged and, if teams are in use, your team. Your real name, email and photo are never shown on the leaderboard or anywhere else in the app to other participants.
Challenge administrators
A small, named group at HVS Hospitals. They can see your name, email, handle, team, step goal, daily entries and totals — this is how prizes are matched to real people and how participation is reported. Administrators can also remove a participant from the challenge.
Anyone else
Nobody. The data is not sold, rented, shared with advertisers, or passed to any third party. There are no analytics or tracking scripts in the app.
Reporting
Any summary shared more widely — internal communications, social posts, a wrap-up report — uses group totals and handles, not individual names, unless a winner has agreed to be named.

04Where it is stored, and for how long

The information is held in a single database on a server controlled by HVS Hospitals, in India. Access is limited to the administrators named for this challenge and the technical staff who maintain the server. The connection between your device and the app is encrypted.

We keep the data for the duration of the challenge and for a reasonable period afterwards so that results can be verified and prizes awarded. Personal details are then deleted or replaced with anonymous figures, and only aggregate totals are retained for reporting.

05Your choices

You may, at any time and without giving a reason:

To make any of these requests, or to ask a question about this notice, contact the challenge administrator at hr@hvshospitals.com. We will respond within a reasonable period, and in any case within the timeframes required under India's Digital Personal Data Protection Act, 2023.

06Health and safety

Mumbai Moves is a wellness activity, not medical advice. The calorie and distance figures shown in the app are rough estimates from standard formulas — they are not clinical measurements and should not be used to guide treatment.

Walk at a pace that is comfortable for you. If you have a heart condition, a joint or mobility problem, are pregnant, or are under medical supervision for any reason, please speak to your doctor before significantly increasing your activity. Stop and seek help if you feel chest pain, dizziness, breathlessness or unusual discomfort.

Nothing in this challenge should encourage you to walk beyond what is safe and sensible for you. There is no penalty for logging a small number of minutes, or none at all on a given day.

08Changes to this notice

If anything material about the challenge or the handling of your information changes, this page will be updated and the date at the top revised. Where a change meaningfully affects your information, participants will be told directly rather than left to notice it here.
